Dwelling Suites Policies and Information

If your extension has been approved remember to submit a new 30 day Notice to Vacate.

If “Certified Funds are Needed” is mentioned then please overnight these funds to the address listed on the contact us page.

Companies paying by company check must send funds by overnight mail before their client may take possession of the suite.

Cancellations and Refunds

Once a reservation agreement and deposit have been submitted, a suite will be reserved for you. Your deposit and reservation fees are non-refundable once you have submitted your reservation agreement. Upon move-in, you will be required to sign a lease agreement for the dates you specified in your reservation agreement. Once you have signed a lease agreement, you are responsible for the rent of the suite for the entirety of your lease agreement. We do not refund nor do we prorate rent at any time. Default will result in accelerating your lease contract.

Delay of Occupancy

If your suite is unavailable at your scheduled move in time because of a delay caused by unanticipated construction, repairs, cleaning, or a previous client holdover, we will notify you of this delay and you may request a refund of your deposit and reservation fee.

Extending Your Stay

If your departure date needs to be extended, contact your Dwelling Suites Coordinator in advance to determine availability and rent rate. We do not guarantee extensions. Residents extending less than one month after fulfilling the 30 day minimum rental requirement will result in the weekly or daily rate being assessed depending on the length of extended stay. For extensions of less than one month, rent is due upon acceptance of extension by management.

Pet Policy

Pets are allowed with a signed pet agreement and documentation of the pet’s recent shot records. Pet must be declawed as well as spayed or neutered. No kittens or puppies allowed. A $300 non-refundable fee is also required for the first pet and $100 for an additional pet. (2) Pet Maximum.

Smoking Policy

All of our suites are non-smoking. Failure to comply with this policy will result in the immediate termination of your lease contract. Balconies, patios, and outdoor seating areas are available. Improper disposal of cigarette butts will result in forfeiture of deposit.

Move-In

You may move into your suite after 4:00 PM on the start day of your lease. Please complete the move-in check list in your Welcome Book and return to your Dwelling Suites representative.

Key Pickup

During business hours check with the leasing agent for key pick up. After business hours and on weekends or holidays, keys will be left in a lock box on the suite door. Directions for obtaining keys from lock box will be given in confirmation letter. After hours move-ins must pay rent with a credit card prior to move-in.

Mail

We do not provide a mail box for residents staying only the minimum 30 days.

Packages

Document package acceptance at our corporate mailing address is available if you are expecting a delivery and will be unable to accept it yourself. Non-document packages can not be accepted. Please contact your Dwelling Suites representative to make arrangements.

Move-Out

A written 30 day “Notice to Vacate” letter is required prior to move out. This form can be found online under the “Forms” link at www.dwellingsuites.com. Please fill out immediately if only staying 30 days. Move out is by 10:00 AM the day after the lease contract expires. Failure to vacate will result in additional charges. Early departure will not result in a refund of rent.

Move-Out Checklist

  • Remove food from refrigerator and wipe clean
  • Run dishwasher
  • Remove all personal items from drawers and cabinets
  • Take out all trash
  • Adjust thermostat to 68F in winter and 78F in Summer
  • Arrange with post office to have mail forwarded
  • $500 fees will be charge for cable boxes, cable modems, and routers not left in the suite after move-out

Please place all keys, gate access cards, garage openers, parking passes, mailbox keys and any other items supplied to you upon move-in in the envelope provided in your Welcome Book. For our North East location please turn this envelope and contents into the leasing office or in the night drop slot located in building 8 at the maintenance office, next to the front pool upon your departure. For our North Central and North West locations please place items in the envelope provided during move-in, and return the key to the lock box after exiting unit. Failure to return these items upon move-out will result in charges ranging from $35-$100.

Denial of Occupancy

Occupancy will automatically be denied if the application processing reveals a felony criminal record.

Delayed Arrival

If your arrival date is later than the lease start date, your rent will commence on the lease start date.

Payments, Fees, and Penalties

Late fees will be assessed on past due invoices. A signed lease and first full month rent is due two weeks prior to move in. In the event that a move in is less than two weeks away all rent, deposits and applicable fees are due all at once. If rent has not been paid on time we will attempt to charge the amount owed to your credit card we have on file with a signed lease agreement. If we are unable to charge the suite may be released and all applicable deposits and reservation fees are forfeited. Current residents are given a 24 hour period after the due date to pay their rent online. If unpaid we will attempt to manually charge the amount owed to your credit card on file. Failure to secure your rent payment may result in being locked out of your suite. If your rent is continually being paid late you will be sent a notice indicating instructions for auto bank checking account payment or wiring instructions.

Gift Cards and Promotions

Gift card offered in promotions are worth $50. These will be released to those individuals who referred a guest who signed a minimum one month lease. The reservation agreement must include your name as a referral for the incoming guest during the initial process and you must have been signed up with our newsletter for a minimum of 30 days or have stayed with us in the past. Limit one gift card per household per completed reservation.
